Our association

Eteläkankaan Animal Shelter Association is an animal protection association founded by Maija-Liisa and Kalle Sätilä, Hanna-Kaisa Härme and Anni Tiusanen in autumn 2023. The association runs an animal sanctuary on a small private farm in Haukivuori, Etelä-Savo.

The purpose of the association is to help animals in need of help for various reasons (production, domestic and pet animals), either by taking them into care at the shelter run by the association, by providing a home for the rest of their lives or by finding a suitable home.

The central idea behind the association is that every animal is an individual with intrinsic value and that every animal’s life is valuable in its own right. The value of an animal does not depend on how it benefits humans. We have a responsibility to help and care for those in need.

Rules of the association

  1. Name and domicile of the association:
    The name of the association is Eteläkankaan eläinsuoja ry and its domicile is Mikkeli (Haukivuori, Kantala).

2. Purpose and nature of the activities:
The purpose of the association is to operate as an independent and non-profit animal protection association and to maintain the animal shelter, the Eteläkankaan animal shelter, on the Lammenranta farm. The purpose of the association is to enable the various types of pets, domestic animals and farm animals that have come to the shelter
for various reasons to find a home for the rest of their lives, either on the Lammenranta farm, or to find a suitable permanent home elsewhere, taking into account the species-specific needs and state of health of the individual. The Association may also provide temporary care or foster homes for animals in need in a variety of situations, where possible.
The Association may also be involved in cooperation with local operators in the case of wild animals and found animals.
In order to achieve its objectives, the Association shall, as far as possible, cooperate in particular with local animal welfare organisations and foundling shelters, as well as with the local veterinary inspectorate and other professionals in the field. The association may cooperate with national and foreign associations and companies.
In order to achieve its objectives, the Association:

  • can maintain the association’s electronic communication channels
  • can publish the association’s newsletters and other communications in various communication channels
  • participates in public debate on matters related to the sector
  • brings together members for joint activities and maintains contacts with other associations in the sector
  • can make proposals, initiatives and reports and give statements to other communities and authorities
  • cooperates with authorities, organisations, companies and private individuals
  • can run a shelter for different types of animals.
  • may find homes for animals for which the shelter run by the association cannot provide a suitable home.
  • can act as a temporary or foster home for a variety of animals.
  • In order to support its activities, the Association may, with the permission of the relevant authority, if necessary:
    • organise fund-raising and raffles
    • organise fairs, fairs and other events
    • accept grants, donations and bequests
    • own movable and immovable property necessary for its activities
    • run a café
    • carry out voluntary work
    • enter into sponsorship agreements

3. Membership and subscription fee:

The annual meeting shall decide on the amount of the membership fee and the annual membership fee to be charged to the full members and to the sustaining members separately for each category of members. The Honorary President and Honorary Members do not pay membership fees.

4. Board of Directors:

The affairs of the Association are managed by a Board of Directors consisting of a President elected at the Annual General Meeting and 2 to 5 other full members. The term of office of the Board of Directors is one calendar year. The Board elects from among its members a Vice-Chairman and appoints from among its members or from outside the Board a Secretary, a Treasurer and other necessary officers. The Board shall meet at the call of the Chairman or, in his absence, of the Vice-Chairman, whenever they consider it necessary or at the request of at least half of its members. A quorum shall exist when at least half of the members of the Board, including the Chairperson or the Vice-Chairperson, are present. Votes shall be decided by an absolute majority of votes. In the event of a tie, the Chairman shall have the casting vote, but in the event of an election, the vote shall be by lot.

5. Writing the name of the Association:
The name of the Association shall be written by the Chairman of the Board, the Vice-Chairman, the Secretary, the Treasurer, a person authorised by the Board, each alone.

6. Financial year:
The financial year of the Association is the calendar year.

7. Meetings of the Association:
If the Board of Directors or the Association so decides, meetings of the Association may also be attended by post or by means of telecommunication or other technical means during or before the meeting. The voting and election procedures shall be approved by the Association’s meeting. The annual meeting of the Association shall be held annually on a date to be fixed by the Board of Directors in January-May.

At meetings of the Association, each Full Member, Honorary President and Honorary Member shall have one vote. A sustaining member shall have the right to be present and to speak at the meeting. Unless otherwise provided for in the rules, the decision of the Association’s meeting shall be the opinion supported by more than half of the votes cast. In the event of a tie, the chairman of the meeting shall have the casting vote, but in the case of an election, the vote shall be by lot.

8. Convening meetings of the Association:
The Board of Directors must convene meetings of the Association at least 7 days before the meeting. The notice of the meeting must be sent to the members by letter or e-mail.

9. Annual meeting:
The annual meeting of the Association shall consider the following matters: opening of the meeting election of the chairman, secretary, two scrutineers and, if necessary, two tellers
verification of the legality and quorum of the meeting
approval of the rules of procedure presentation of the financial statements, the annual report and the opinion of the auditors/auditors adoption of the financial statements and discharge of the Board of Directors and other responsible persons
adoption of the action plan, the budget and the amounts of the subscription and membership fees the election of the Chairman and other members of the Board the election of one or two auditors and deputy auditors or one or two auditors and deputy auditors the other matters mentioned in the invitation to the meeting.
If a member of the Association wishes to have any business transacted at the annual meeting of the Association, he or she must notify the Board in writing in sufficient time to be included in the notice of the meeting.

  1. Amendment of the by-laws and dissolution of the Association:

The decision to amend the Bylaws and dissolve the Association shall be made at a meeting of the Association by a majority of at least three-fourths (3/4) of the votes cast. The notice of the meeting must mention the amendment of the Statutes or the dissolution of the Association. In the event of the dissolution of the Association, the assets of the Association shall be used to further the purposes of the Association as determined by the meeting deciding on the dissolution. If the Association is dissolved, its assets shall be used for the same purpose.

This privacy notice (hereinafter referred to as the ”Privacy Notice” or ”Notice”) describes how and for what purposes the Eteläkankaan eläinsuoja ry as a data controller (hereinafter referred to as ”Eteläkankaan eläinsuoja ry”, ”data controller” or ”association”) collects and processes personal data of data subjects, i.e. supporters (members, donors and volunteers) of the Eteläkankaan eläinsuoja ry (hereinafter referred to as ”data subjects” or ”supporters/members”).

  1. Collection of personal data

The South-Eastern Animal Shelter Association only collects and processes personal data that the data subject provides to the Association when dealing with the Association, for example when becoming a member of the Association.

In most cases, the association will only collect the following information:

  • Contact information (postal address, email address, telephone number)
  • Date of birth or age
  • Payment information (e.g. due date and date of payment, billing information)
  • Membership information (e.g. date of joining, date of resignation, type of membership) from members.

In addition, the association may collect the following information:

  • Permissions and consents (e.g. direct marketing authorisation or ban)
  • Information relating to competitions and prize draws
  • Information relating to surveys
  • Sponsor history
  • Other information provided by the data subject with their consent
  1. Grounds for and purposes of the processing of personal data

Eteläkankaan eläinsuoja ry collects and processes only the data that are necessary for the operation of the association and for the development of its sponsor relations.

Personal data is collected for the following purposes:

  • Information and communication regarding membership
  • Donation and marketing communication regarding the South-Eastern Animal Shelter
  • General information and communication regarding the association and the South-Eastern Animal Shelter managed by it
  • Maintenance and management of the register
  • Development and management of the sponsor relationship between the association and the member, including terminated sponsor relationships during the retention period of personal data specified in this description
  • Processing of donations and membership fees.

Eteläkankaan eläinsuoja ry processes the personal data of data subjects in a confidential manner. The data of registered persons are processed only by persons authorised by the Board of Directors of the Association. In addition, in order to improve the efficiency of our electronic communication, we may use third parties, such as newsletter tool providers, to process the data. However, data will never be disclosed to third parties for commercial purposes. By providing their personal data to Eteläkankaan eläinsuoja ry, the data provider accepts this Privacy Policy and authorises the Association to collect, store and process their data in the manner described in the Privacy Policy.

  1. Retention of personal data

Personal data will be kept only for as long as necessary for the purposes of use specified in this notice. The personal data of supporters (members and donors) will be kept for the duration of the relationship and for two years after the end of the relationship, after which it will be deleted from the register if it is no longer necessary to keep it in order to fulfil the rights or obligations of the law or of either party.

  1. Data security

The controller shall ensure that appropriate technical and organisational measures are in place to protect personal data against loss, destruction, misuse and unauthorised access or disclosure, as required by the EU General Data Protection Regulation. For example, data are processed and stored in accordance with security practices and access to personal data is restricted to those persons who need it for the performance of their professional or fiduciary duties.

However, it should be noted that not all potential breaches of security can be prevented, even with the measures required by law. In the event of a potential personal data breach, the controller shall, in accordance with Article 86 of the EU General Data Protection Regulation, notify the data subject of the breach without undue delay where the breach is likely to result in a high risk to the rights and freedoms of a natural person.

  1. Rights of the data subject

In accordance with the EU General Data Protection Regulation, the data subject has the right to check the information collected about him or her in the personal data file to ensure the lawfulness of the processing of personal data. The data subject has the right to rectify and update inaccurate, outdated or incomplete data. In addition, data subjects have the right to request the erasure of their data from the register if the personal data are no longer needed for the purposes for which they were collected or if any of the other grounds for erasure set out in Article 17 of the EU General Data Protection Regulation are met.

Requests for review, correction, supplementation and deletion should be made in writing to the controller by e-mail to etelakankaanelainsuoja@gmail.com or by post to the postal address previously mentioned above. If the data subject considers that his or her personal data are not being processed fairly, he or she has the right to contact the Data Protection Officer. The contact details of the Data Protection Ombudsman can be found on the website of the Office of the Data Protection Ombudsman at www.tietosuoja.fi.

Eteläkankaan eläinsuoja ry ry has the right to update the privacy policy, for example, as the business develops and expands. The updating of the privacy policy will be published on the association’s website.
